MapleGather

Migration & onboarding

Switch without starting from scratch

The scariest part of changing membership tools is moving your data. MapleGather makes it the guided part: an AI-assisted import maps your export to the right fields, keeps families and history intact, and shows you exactly what came across — then helps your members log in to the new system.

A guided import, not a spreadsheet wrestling match

  • Smart field mapping — the AI wizard reads your CSV or Excel export and proposes the right field matches for you to confirm
  • Create levels & fields inline — missing a membership level or custom field? create it right in the import preview
  • Families & relationships preserved — households and organization links come across as relationships, not flat rows
  • History too — past payments, renewals, registrations, and donations, tagged as imported — never re-charged
  • A clear summary — exactly what was created, updated, skipped, and flagged, with a per-row error report
  • Undo an import — every import is tracked as a batch you can roll back if something looks off

The step other tools skip

Getting your members logged in

Importing data is only half the job — your members still have to actually get into the new system. MapleGather's claim-account broadcast sends each member a secure, one-time link to set their password, review their profile, and land in their portal. An admin dashboard tracks who's in and who still needs a reminder. It turns "the data is migrated" into "everyone's actually using it" — without you clicking send five hundred times.

Coming from Wild Apricot specifically?

We've mapped out exactly what transfers from Wild Apricot, what doesn't, and how we handle the tricky parts — including the honest truth about payment methods.

On the roadmap

Deeper Wild Apricot tooling ahead

A Wild Apricot-specific import wizard that handles its quirks, direct import from the Wild Apricot API, a file pull for your uploaded images and documents, website-content migration, a side-by-side reconciliation report, and a member-facing payment-method re-collection campaign are on the near-term roadmap. We'll mark each available here as it lands.
